1. Acceptance of Terms

By accessing and using Fluent Chat's services, you accept and agree to be bound by the terms and provisions of this agreement. If you do not agree to these Terms and Conditions, please do not use our services.

2. Services Provided

  • One-on-one online conversational Portuguese lessons via Google Meet
  • Personalized lesson plans tailored to your level and goals
  • Customized learning materials
  • Regular feedback and progress tracking

3. Booking and Payment

  • Lessons are sold in packages as displayed on our website. All prices are listed in Euros (EUR) and are subject to change without notice.
  • Payment for lesson packages must be made in full before lessons can be scheduled. We accept payment via bank transfer (including EFT, SEPA). Payment instructions will be provided upon purchase confirmation.
  • Lessons will only be available for scheduling once payment has been received and confirmed by Fluent Chat. This process typically takes 1 - 3 business days, but may vary depending on your bank.

4. Lesson Scheduling

  • Students may schedule lessons through their account - Profile page - after purchasing a lesson package and once payment has been confirmed.
  • We recommend scheduling lessons weekly. If not, possible book lessons at least 48 hours in advance.
  • All lesson times are displayed in your local time zone. Please ensure your account settings reflect your correct time zone to avoid scheduling conflicts. It is the student's responsibility to ensure “your time zone” is correct at the time of booking.

5. Cancellation and Rescheduling Policy

Students may cancel or reschedule lessons at any time through their profile page:

  • Cancellations and rescheduling: Students can cancel or reschedule lessons at any time, including same-day, with full credit retained. The lesson will be returned to your package.
  • No-show: If you do not attend a scheduled lesson without cancelling, the lesson is forfeited with no credit or refund.
  • If a student arrives late, the lesson still ends at the scheduled time.
  • If the teacher is 10 minutes or more late, the student may reschedule the lesson with full credit.
  • If Fluent Chat cancels a lesson, the student will receive full credit.

6. Refund Policy

  • Due to the personalized nature of our services, lesson packages are non-refundable once payment has been confirmed.
  • Exceptions Refunds may be considered on a case-by-case basis in exceptional circumstances, such as:
    • Prolonged illness or medical emergency
    • Technical issues on our end preventing lesson delivery
  • Refund requests must be submitted in writing to our support team within 7 days of the issue occurring.

7. Package Expiration

Lesson packages are valid for:

  • 1 - lesson package: 1 month from the date of purchase
  • 5 - lesson package: 3 months from the date of purchase
  • 10 - lesson package: 4 months from the date of purchase
  • 20 - lesson package: 6 months from the date of purchase

Unused lessons will expire automatically after these periods, with no refund or credit. Extensions may be granted in exceptional circumstances at the teacher's discretion.

8. Technical Requirements

Students are responsible for:

  • Maintaining a stable internet connection
  • Having a working computer, tablet, or smartphone with a camera and microphone
  • Installing and accessing the Google Meet platform/app
  • Testing their technology before the first lesson

If a lesson cannot proceed due to issues on the student's side (internet/device/audio/video), the lesson may be marked as completed and deducted from the package. However, if the student notifies us at the start of the lesson and the issue is significant, we may offer one reschedule at our discretion.

9. Student Conduct

Students are expected to:

  • Treat the teacher with respect and professionalism
  • Arrive on time for scheduled lessons
  • Communicate promptly about scheduling changes or concerns

We reserve the right to terminate services without refund if a student engages in abusive, threatening, or inappropriate behavior.

10. Intellectual Property

All learning materials, lesson content, and resources provided by Fluent Chat remain the intellectual property of Fluent Chat. Students may use these materials for personal learning purposes only and may not distribute, sell, or reproduce them without written permission.

11. Privacy and Data Protection

We are committed to protecting your privacy. Please review our Privacy Policy to understand how we collect, use, and protect your personal information.

12. Limitation of Liability

Fluent Chat provides language learning services to the best of our ability. However, we do not guarantee specific learning outcomes or fluency achievements if the student is not committed. Our liability is limited to the amount paid for the services in question.

13. Changes to Terms

We reserve the right to modify these Terms and Conditions at any time. Changes will be posted on this page with an updated revision date. Continued use of our services after changes constitutes acceptance of the modified terms.

14. Governing Law

These Terms and Conditions are governed by the laws of Portugal. Any disputes will be subject to the exclusive jurisdiction of the courts of Portugal.
